How Does It Work?

vm2email.com makes business voice mail transcription easy.  How?  By working with your existing phone system’s “voice mail to email” functionality.  If your phone system offers this feature, whereby received voice mail messages are emailed automatically to you, along with the audio of the message attached to the email, you can benefit from our transcription service!

Here’s how it works.  In your phone system’s configuration, there are “SMTP” email settings that tell the phone system how emails are to be delivered.  By changing these settings to ones that we provide (this is a one-time configuration), these emails can be routed through our servers, and automatically be transcribed in the process.  The flow is as follows:

  • Someone calls your business phone system;
  • If the call is not answered, or the caller is routed to a voice mail box on your system, they may leave a voice mail message;
  • Your phone system (when configured correctly by your administrator) will send an email to a specified email address, with the voice mail audio attached to the email;
  • Because the email is routed through our servers, we will automatically transcribe the attached voice mail, and put the voice mail transcription text at the top of the email body;
  • You receive a single email for each voice mail, which includes both the audio of the voice mail message as well as the transcribed text.

How Do I Sign Up?

Simply visit our Pricing page and choose a suitable plan for your business. After providing your business and payment information, we will create your account and provide you with technical information required to complete setup.  You will need to have access to your phone system’s administration configuration settings in order to make sure emails are routed through our servers.  Many businesses will find it easiest to work with their phone system reseller to ensure that the settings we provide are entered correctly.
